Blueprint

Blueprint: AI-assisted order-to-cash for distributor-heavy manufacturers

A reference architecture for moving distributor orders from email and spreadsheets into SAP in hours — with validation against inventory and pricing, and an exception queue for the orders that need people.

Thousands of orders, dozens of formats

A manufacturer sells through hundreds of distributors. Orders arrive as emails, PDFs, spreadsheets and messaging screenshots, each in a different format. A central team re-keys them into SAP, checks stock and prices, and chases distributors about errors. Processing takes up to a day, mistakes flow through to invoices, and sales teams have little real-time view of demand.

How it works

1

Capture

A shared order inbox and upload channel feed every order into one pipeline.

2

Extract

AI document processing reads each order, whatever its format, and extracts distributor, products, quantities, prices and dates, with a confidence score per field.

3

Validate

Extracted data is checked against SAP master data, pricing agreements, credit limits and available inventory.

4

Create

Orders that pass validation and meet confidence thresholds are created in SAP automatically.

5

Handle exceptions

Orders with low confidence or failed checks go to an exception queue with the issue highlighted; staff fix and approve in one screen.

6

Communicate

Distributors receive automatic confirmations or clarification requests.

7

Report

Dashboards show volumes, touchless rate, cycle time and demand by region and product.

Controls built in

  • Confidence thresholds agreed with operations and finance before go-live
  • Human approval for orders above value limits or outside pricing agreements
  • Dedicated SAP technical user with limited authorisations
  • Full audit trail from original document to SAP order
  • Weekly accuracy sampling during the first months

Is this blueprint right for you?

  1. Do you receive more than a few hundred orders a month in non-standard formats?
  2. Does a team re-key orders into your ERP?
  3. Do order errors cause invoice corrections or credit notes?
  4. Is order-processing time a complaint from distributors or sales?
  5. Is your pricing and product master data broadly reliable?

Three or more "yes" answers usually mean a strong case.

Validate this blueprint against your own order data.
